Running a conference? Your attendees are taking photos of keynotes, networking sessions, booths, and everything in between. Those photos are gold for your marketing, social media, and next year's promotional materials. But you need a way to actually collect them.
Why conferences are different from weddings
At a wedding, you're asking 50–200 people who know you. At a conference, you might be asking hundreds or thousands of strangers. This means:
- Zero-friction is even more critical — strangers won't download an app for you
- Clear signage matters more — you can't personally ask each person
- Incentives help — a raffle entry for uploaders can boost participation
Setting up collection
Create an upload page at getfiles.app with a title like "TechConf 2026 — Share Your Photos."
Then make the link visible everywhere:
- Large QR code signs at entrances, near stages, and at the registration desk
- On the conference app or website — a prominent "Share Your Photos" button
- On lanyards or badge inserts — a small QR code printed on each badge
- In presentation slides — speakers can include the QR code on their closing slide
- WiFi login page — if you control the WiFi, redirect to or mention the upload link
Incentivize participation
"Upload a photo and enter to win a free ticket to next year's conference" can 10x participation. Collect names with uploads to run the drawing.
Moderation considerations
Unlike a wedding where you know everyone, conference uploads might include inappropriate content. Review uploads before using them publicly.
Using the photos
Conference photos work great for:
- Social media recaps and highlight reels
- Next year's website and promotional materials
- Speaker and sponsor thank-you packages
- Internal reports showing event success
- Blog posts and case studies
Multiple upload pages
For large multi-day conferences, consider creating separate upload pages for each day or each track. This keeps things organized and makes it easier to find specific photos later.
